How to Add MX Records in PhotoBiz

Overview

MX records, also called Mail Exchange records, tell the internet where to deliver email for your domain. You may need to add or update MX records when setting up branded email with services such as Google Workspace, Microsoft 365, Zoho, or another email provider.

This guide explains how to add MX records inside your PhotoBiz account when your domain’s DNS is managed through PhotoBiz AWS Route 53 name servers. By the end of this article, you will know where to open the DNS Zone Editor, how to enter your MX record information, and what to expect after saving your changes.

Prerequisites

Before you begin, make sure your domain is using PhotoBiz AWS Route 53 name servers. DNS management inside PhotoBiz is only available for domains using AWS Route 53.

If your domain is still using PhotoBiz legacy Rackspace name servers, the DNS management option will not be available in your account. You can upgrade your domain name servers to AWS Route 53 if you want to manage DNS records directly through PhotoBiz.

If your domain uses third-party name servers, such as GoDaddy, Namecheap, Cloudflare, or another domain provider, you will need to add your MX records through that provider instead.

You should also have the MX record values from your email provider before starting. PhotoBiz does not generate MX records for third-party email services. Your email provider will supply the exact record values you need to enter.

STEP ONE

Log in to your PhotoBiz account and click DOMAINS in the left-side menu.

This opens the Domains section of your account, where you can manage domain settings connected to your PhotoBiz account.

STEP TWO

Find the domain you want to update and click MANAGE DNS next to the domain name.

This opens the DNS Zone Editor for that domain. The DNS Zone Editor is where you can add, edit, or remove DNS records when your domain is using PhotoBiz AWS Route 53 name servers.

STEP THREE

Click the NEW DNS RECORD button.

This opens the form where you can choose the type of DNS record you want to add.

STEP FOUR

Choose MX from the record type dropdown.

Enter the MX record information exactly as provided by your email service provider. MX records usually include a priority number and a mail server address. For example, an email provider may give you a value similar to 10 mail.example.com.

The host or name field is often left blank, or set to the root domain, when the MX record applies to your main domain. However, you should always follow the exact instructions from your email provider. If your provider gives you a specific host, name, priority, or value, enter it exactly as shown.

Be careful when adding or editing MX records. Incorrect MX records can prevent email from being delivered to your domain.

FINAL STEP

Save your new MX record.

After saving, your DNS update will be applied to your domain’s DNS zone. Most DNS updates begin working within a few minutes, but full DNS propagation across the internet can take up to 48 hours.

Once propagation is complete, your email provider should be able to verify the MX records and begin routing email for your domain based on the records you added.

Additional Options or Helpful Notes

Some email providers require more than MX records to complete email setup. You may also be asked to add other DNS records for email verification, security, or delivery.

Common additional records include:

  • TXT records for domain verification, SPF, DKIM, or DMARC
  • CNAME records for email authentication or provider verification
  • A records when required by your email provider

Always add all records required by your email service provider. MX records control where email is delivered, but authentication records such as SPF, DKIM, and DMARC help protect your domain and improve email deliverability.

If you are replacing an existing email provider, review your current MX records carefully before making changes. Removing or replacing the wrong records may interrupt email delivery.

Troubleshooting or FAQs

Why don’t I see the MANAGE DNS option?

The MANAGE DNS option is only available when your domain is using PhotoBiz AWS Route 53 name servers. If your domain is using PhotoBiz legacy Rackspace name servers, you will need to upgrade your name servers to AWS Route 53 before you can manage DNS records directly in your account.

If your domain is using third-party name servers, you will need to manage DNS through your domain provider instead.

What should I enter for the host or name field?

The host or name field depends on the instructions from your email provider. In many cases, MX records for your main domain use a blank host or root domain value. If your provider gives you a specific host or name value, use the value they provide.

How long does it take for MX records to work?

MX record updates often begin working within a few minutes. However, DNS propagation can take up to 48 hours across the internet. During this time, email routing may not update everywhere at the same time.

Can incorrect MX records affect my email?

Yes. Incorrect MX records can prevent email from being delivered to your domain. Always copy the record values directly from your email provider and review them carefully before saving.

Can PhotoBiz add my MX records for me? 

Yes. If you would like PhotoBiz to add the MX records for you, please submit a support ticket with the DNS record information that needs to be added.
