How to Edit an Existing Contact in PhotoBiz

Overview

PhotoBiz Contacts keeps your leads, customers, vendors, and other business contacts organized in one place. You can update a contact’s personal information, email preferences, marketing consent, tags, addresses, and internal notes at any time.

Some settings can be changed directly from the contact profile. Other information requires you to open the contact editor.

This guide explains how to find an existing contact, review their profile settings, edit their information, and save your changes.

STEP ONE

Log in to your PhotoBiz account and click CONTACTS in the left-side menu.

The Contacts page displays the people saved to your account, including contacts added manually and contacts created through forms, orders, scheduling, and other PhotoBiz tools.

STEP TWO

Find the contact you want to update and click their name to open the contact profile.

You can use the search and filter options on the Contacts page if you need help locating a specific person.

STEP THREE

Review the information and settings available directly on the contact profile. You will see the date the contact was created and the most recent date their information was updated.

The profile also displays the contact’s Agrees to Policies, Emails Opt-In, and unsubscribe settings. Click the pencil icon beside one of these settings to update it. You can also click ADD TAG to assign another tag to the contact.

The Agrees to Policies field may display No Answer when you are not using the GDPR policy settings. The Emails Opt-In field may display No Answer when you are not using the marketing opt-in setting.

You do not need to click EDIT to manage these profile settings.

Only opt a contact into marketing emails or confirm their agreement to your policies when the contact has given you permission.

STEP FOUR

Click EDIT in the top-right corner of the contact profile.

The contact editor allows you to update the personal, business, address, and account information saved for the contact.

FINAL STEP

Update the contact information as needed, then click SAVE CHANGES at the bottom of the page.

PhotoBiz will return you to the contact profile. Review the profile to confirm that your changes were saved correctly.

Contact Information You Can Edit

Depending on the information saved for the contact, you can update:

  • First name
  • Last name
  • Email address
  • Phone number
  • Work phone number
  • Contact type
  • Company name
  • Birthday
  • Facebook profile
  • Tags
  • Billing address
  • Shipping address
  • Notes

An email address is the only required field for the contact record.

The available contact types are:

  • Lead
  • Customer
  • Vendor

Use the Notes field to save internal details about the contact, such as communication history, service interests, appointment information, or other information your team may need. Notes are stored in your PhotoBiz account and are not shown to the contact.

Using Tags to Organize Contacts

Tags help you organize contacts according to your business and workflow. For example, you can use tags to group contacts by:

  • Photography service
  • Event type
  • Location
  • Lead source
  • Client status
  • Marketing interest

You can add a tag directly from the contact profile or while editing the contact. After assigning a tag, you can use the filtering options on the Contacts page to find other contacts with the same tag.
