PhotoBiz Scheduler Walkthrough

Let clients easily book consultations, portrait sessions, weddings, and more with the PhotoBiz Scheduler. This guide walks you through setting up your availability, booking policies, services, and displaying them on your website.

Quickstart Guide for Scheduler

Overview

PhotoBiz Scheduler allows clients to book consultations, portrait sessions, weddings, mini sessions, and other appointments directly from your website. You can use Scheduler to set your availability, manage booking rules, create services, collect payments, and send automated appointment emails.

This quickstart guide gives you the recommended setup order for getting Scheduler ready to use. Start with the video walkthrough at the top of this guide, then use the sections below to review each main part of your Scheduler setup.

By the end of this guide, you will know which Scheduler settings to complete first and where to find the full setup guides for each part of the process.

Watch the Scheduler Walkthrough Video

The video at the top of this guide gives you a quick overview of how PhotoBiz Scheduler works. We recommend watching the video first if you are setting up Scheduler for the first time.

After watching the video, use the sections below as a setup checklist. Each section explains what to configure and includes links to related guides with more detailed instructions.

Start With Your Hours of Operation

Your Hours of Operation tell Scheduler when you are generally available for appointments. These hours are used as the default availability for your Scheduler services.

Use Hours of Operation for your regular studio hours or standard booking availability. For example, if you normally accept appointments Tuesday through Friday from 10am to 4pm, you can set those hours as your default schedule.

If a specific service should only be available during certain dates or times, you can use a Limited Schedule inside that service. Limited Schedules are helpful for mini sessions, seasonal events, special booking days, or services that do not follow your regular availability.

Set Your Booking and Cancellation Policies

Scheduler policies control how and when clients can book or cancel appointments. These settings help you protect your schedule and give clients clear expectations before they book.

You can control how far in advance appointments must be booked, whether clients can cancel appointments on their own, and how much notice is required for cancellations.

Reviewing your policies early in the setup process helps keep your Scheduler consistent across your services.

Create Your Scheduler Services

Scheduler services are the appointments clients can book online. These may include consultations, portrait sessions, mini sessions, full photo shoots, ordering appointments, or wedding appointments.

Each service can include a name, description, duration, price, and booking availability. You can use your default Hours of Operation or apply a Limited Schedule to a specific service.

You can also enable automated emails for your services, such as appointment reminders and follow-up messages. If you want clients to pay when booking, connect your merchant account and enable payment options for the service.

Add Scheduler Services to Your Website

After your services are created, add a Scheduler Block to the page where you want clients to book appointments.

The Scheduler Block displays your available services on your website. Visitors can choose a service, select an available appointment time, and complete the booking process directly from your site.

After adding the Scheduler Block, review the page on your website to make sure your services display correctly.

Additional Options and Helpful Notes

Use Hours of Operation for your regular booking availability.

Use Limited Schedules for services that should only be available during specific dates, times, or seasons.

If you accept payments through Scheduler, connect your merchant account before clients begin booking paid services.

If you use automated Scheduler emails, review your email series and reminder settings before publishing your services.

If you offer several appointment types, create separate services so each one can have its own duration, description, price, and availability.
