How to Manually Book an Appointment for a Client Using PhotoBiz Scheduler

Overview

The PhotoBiz Scheduler allows clients to book appointments directly through your website, but you can also manually create appointments on a client’s behalf. This is helpful for phone bookings, in-person bookings, returning clients, or appointments arranged outside your website.

In this guide, you will learn how to manually book a Scheduler appointment for a client and how to complete bookings for services that require payment.

STEP ONE

Log in to your PhotoBiz account and click Scheduler in the left-side menu.

STEP TWO

Click Services at the top of your Scheduler.

Find the service you want to book for your client, then click the service name.

STEP THREE

In the service settings panel on the right side of the screen, click the MANAGE YOUR DETAILS link to open the Service Booking Page.

This opens the same booking form your clients use on your website. You will complete the booking process on your client’s behalf.

STEP FOUR

Use the calendar to select the appointment date and time your client wants to book.

FINAL STEP

Enter your client’s:

  • Name
  • Email address
  • Phone number

Click Book Now to complete the appointment.

Once the appointment is booked:

  • Your client will automatically receive a confirmation email.
  • The client will be added to any email automation workflows connected to that service.

Booking Appointments That Require Payment

If the service requires payment, you will be taken to the checkout page after clicking Book Now.

You can complete payment by:

  • Using your client’s payment information with their permission
  • Paying with your own payment method and arranging reimbursement later
  • Applying a gift card if the client has already prepaid

To use a gift card, go to your ECommerce control panel and generate a gift card to apply during checkout.

After payment is completed:

  • Your client will automatically receive a confirmation email and receipt
  • The client will be added to any email automation workflows connected to that service
