How to Back Up Your PhotoBiz Mailbox Before Cancelling or Switching Email Providers

Overview

If you are cancelling your PhotoBiz Mailbox or moving your email hosting to another provider, we recommend backing up your mailbox before making any account or DNS changes. Once your mailbox is cancelled or your email service is moved to another provider, you may no longer have access to messages stored in your PhotoBiz Mailbox.

This guide explains how to prepare your mailbox before cancellation or provider changes, where to find backup instructions for common email programs, and what to check before removing your PhotoBiz Mailbox service. Backing up your messages can help you keep copies of important client emails, order details, contracts, conversations, and business records.

You may also have the option to keep your PhotoBiz Mailbox active instead of cancelling it. If your account will only include Mailbox service, Domain service, or both Mailbox and Domain service, your account must be set up on an annual membership.

Before You Begin

Before you begin, make sure your PhotoBiz Mailbox is connected to an email client on your computer. Common email clients include Microsoft Outlook, Apple Mail, and Thunderbird.

You will also need enough storage space on your computer or external backup drive to save your archived or exported messages.

Important Notes Before Cancelling or Switching Providers

If you are moving your email hosting away from PhotoBiz, your new email provider will give you updated DNS records or setup instructions. These records control where email for your domain is delivered.

Before changing your email DNS records or cancelling your PhotoBiz Mailbox, make sure you have saved any mailbox messages you want to keep. PhotoBiz cannot guarantee access to mailbox content after the mailbox service is cancelled.

Many email clients connect to your mailbox using IMAP. With IMAP, deleting a message in your email client may also delete it from webmail. Always confirm your archive or exported backup is complete before deleting messages from your mailbox.

Option to Keep Your PhotoBiz Mailbox Active

You can keep your PhotoBiz Mailbox active with PhotoBiz, even if you are cancelling other services.

If your account will only include Mailbox service, Domain service, or both Mailbox and Domain service, your account must be set up on or switched to an annual membership. Contact PhotoBiz Support before cancelling if you want to confirm whether keeping your mailbox active is available for your account.

Important Note About Third-Party Email Clients

Microsoft Outlook, Apple Mail, Thunderbird, and other email clients are not PhotoBiz products. PhotoBiz Support can help you confirm your mailbox settings, but we cannot provide direct support for the archive, export, or backup tools inside these programs.

For help using the backup, archive, or export feature in your email client, please contact the support team for that email program.

STEP ONE

Log in to the email client you use to check your PhotoBiz Mailbox.

This may be Microsoft Outlook, Apple Mail on Mac, Thunderbird, or another email program connected to your PhotoBiz Mailbox. Before creating your backup, make sure your inbox and any other folders you want to save have fully synced.

STEP TWO

Review the backup or archive instructions for your email client.

Each email program handles archiving and exporting differently. Use the instructions for the program you use to manage your PhotoBiz Mailbox.

Archive instructions are available for:

  • Archive an Email Inbox on Microsoft Outlook

  • Archive an Email Inbox on Mail on Mac

  • Archive an Email Inbox on Thunderbird

STEP THREE

Follow your email client’s archive or export steps to save your mailbox messages.

Depending on the email program, you may be able to archive messages by date range, folder, mailbox, or account. Some programs move messages into an archive folder, while others allow you to export messages into a backup file saved on your computer.

Review the archive or export options carefully before completing the process. Do not delete messages from your mailbox until you have confirmed your archive or exported backup is complete.

FINAL STEP

Confirm that your archived messages are available in your email client or saved backup file.

Open the archive location in your email program and check that your messages are accessible. If your email client created a backup file, confirm that the file is saved in a secure location on your computer or external backup drive.

After you confirm your backup is complete, you can continue with your mailbox cancellation or email provider change. If you are not sure whether to cancel your mailbox or keep it active, contact PhotoBiz Support before making account changes.

Additional Options and Helpful Notes

Backing up your mailbox is helpful when you want to:

  • Keep copies of older client messages
  • Save important business records
  • Prepare to cancel your PhotoBiz Mailbox
  • Move email hosting to another provider
  • Free up mailbox storage before making account changes

If you are switching to another email provider, your new provider will supply the DNS records needed to route your domain email to their service. After your email provider is changed or your PhotoBiz Mailbox is cancelled, your email will no longer be delivered through your PhotoBiz Mailbox.

Before deleting messages from webmail or your email client, make sure your archive or exported backup has completed successfully.

Troubleshooting

My email client is not listed

You may still be able to back up your mailbox using another email program. Check that program’s help center or support documentation for instructions on archiving, exporting, or backing up email.

I need help setting up my PhotoBiz Mailbox in an email client

PhotoBiz Support can help you locate your mailbox settings so you can connect your mailbox to an email client. Once the mailbox is connected, the email client’s support team can help with its archive, export, or backup tools.

My backup did not include all of my messages

Make sure your mailbox has fully synced in your email client before archiving or exporting. If only recent messages appear in your email program, check your email client’s sync settings.

Can PhotoBiz move my mailbox messages to my new email provider?

PhotoBiz does not manage the import process for third-party email providers. If you are moving to a new provider, contact that provider for help importing saved messages or transferring mailbox content.

Can I keep my PhotoBiz Mailbox without keeping my full website package?

You may be able to keep your PhotoBiz Mailbox active depending on your account setup. If your account will only include Mailbox service, Domain service, or both Mailbox and Domain service, it must be on an annual membership. Contact PhotoBiz Support before cancelling so we can review your options.
