How to Use the Quotes & Invoices Dashboard in PhotoBiz

Overview

The Quotes & Invoices Dashboard gives you a quick view of your quote activity, invoice status, and revenue performance in one place. You can use it to monitor paid invoices, review overdue payments, track pending quotes, and access more detailed reports. This guide explains what each section of the dashboard shows and how to use it. By the end, you will know how to read your dashboard and drill down into the details you need.

STEP ONE

Log into your PhotoBiz account and click QUOTES & INVOICES in the left-side menu.

This opens your Quotes & Invoices Dashboard, where you can view a summary of your quote and invoice activity for the year.

Understanding Your Quotes & Invoices Dashboard

Once you are inside the dashboard, you will see several sections that help you track your quotes, invoices, and revenue. Each section is interactive, so you can click into the related area to view more detailed information.

Dashboard Summary

At the top of the dashboard, you will see a year-to-date summary of your quotes and invoices.

By default, the dashboard displays the current year. You can use the arrows next to the year to move between other years your account has been active.

This section includes:

  • Total Revenue
    The total dollar amount of all invoices paid during the selected year.
  • Outstanding Revenue
    The total dollar amount of overdue invoices that have not been paid yet.
  • Quotes Approval Rate
    The percentage of quotes approved during the selected year.
  • Quotes Pending
    The total number of quotes still waiting for approval or decline during the selected year.

Invoices Overview

The INVOICES OVERVIEW section shows the invoices paid each month for the selected year in a bar graph.

You can hover over a bar to view the dollar amount for that month. You can also click a monthly bar to open the related Invoices report in the Tracking section of your Quotes & Invoices control panel.

Invoice Status & Quote Status

The INVOICE STATUS section shows the total number of invoices by status for the selected year.

You can click PAID, PENDING, or OVERDUE to open the tracking report filtered to that status and review the matching invoices.

The QUOTE STATUS section shows the total number of quotes by status for the selected year.

You can click APPROVED, PENDING, DECLINED, or EXPIRED to open the tracking report filtered to that status and review the quote details.

Overdue Payments

The OVERDUE PAYMENTS section displays up to 10 overdue invoices.

This section includes the following details for each invoice:

  • Invoice Number
  • Client Name
  • Amount
  • Due Date

You can click an invoice number to open the invoice details or resend the invoice to your customer.

To see all overdue invoices, click VIEW ALL OVERDUE PAYMENTS. This opens your invoices list filtered to show overdue invoices only.

Quotes Awaiting Response

The QUOTES AWAITING RESPONSE section lists quotes you have sent to clients that have not yet been approved or declined.

You can click a quote number to open the quote details. You can also click the link at the bottom of the section to open your quotes list filtered to show pending quotes.

Additional Options or Helpful Notes

  • The dashboard updates based on the year you select at the top of the page.
  • Each dashboard section is designed to help you quickly move into the detailed tracking area for quotes or invoices.
  • Reviewing your overdue payments and pending quotes regularly can help you stay on top of follow-up opportunities and unpaid balances.
