How to Sell Custom Sports Banners Through Client Galleries

Overview

PhotoBiz Client Galleries can be used to sell custom sports banners and other personalized products that require a client to select one image and provide additional information, such as a team name, player name, or jersey number.

By setting both Minimum Photos and Maximum Photos to 1, you can require exactly one Client Galleries image for the product. You can then use Product Options, Sub-Options, and text fields to collect the customization details you need.

This guide walks you through creating the product, requiring one image, collecting personalized information, adding the product to a Client Galleries price list, and understanding what the client and submitted order will show.

STEP ONE

Log in to your PhotoBiz account and click ECOMMERCE in the left-side menu.

This opens the ECommerce Dashboard, where you can manage products, orders, payments, shipping settings, and other ECommerce features.

STEP TWO

Hover over SELL ONLINE at the top of the ECommerce Dashboard, then click PRODUCTS.

This opens your existing ECommerce products and product categories.

STEP THREE

Click NEW PRODUCT to begin creating your custom sports banner or other personalized product.

Choose the category where you want the product to appear. Product categories help you organize banners, prints, albums, and other products. You can move products between categories later if you reorganize your ECommerce products.

STEP FOUR

Enter the basic information for your product. Use a clear Product Name, such as Custom Sports Banner, and add a Description explaining what the client will receive.

Enter the product Price and configure the tax and shipping settings that apply.

For Minimum Photos, enter 1. For Maximum Photos, also enter 1. These settings require the client to select exactly one image from their Client Galleries event for the product.

Turn on Active when you are ready for the product to be available, then click Create Product.

STEP FIVE

Open the OPTIONS area for the product and click NEW OPTION.

Enter a name that describes the type of information you need from your client. For this example, enter Banner Information.

Make the Option required if your client must provide this information before completing the product, then save your changes.

STEP SIX

Click NEW SUB OPTION under the Banner Information Option.

Enter a name for the Sub-Option, such as Player Details. The Sub-Option appears as a choice in the dropdown your client sees when purchasing the product.

Add a Label that identifies the information your client should enter. For this example, use Team Name.

You can also add a Description to provide additional instructions. For example, enter Please enter your athlete's team name.

Configure the text field and any other settings you want to use, then click ADD OPTION.

FINAL STEP

Add the custom sports banner to the Client Galleries price list you want to use, then assign that price list to the appropriate Client Galleries event.

When your client purchases the banner through their Client Galleries event, they can complete the required customization information and select one image for the product. Because the product requires a minimum of one image, it will not show as completed until an image has been selected.

Once the product is complete, your client can view their cart to check out or continue shopping.

Why Sell This Product Through Client Galleries?

Use this workflow when the product must be connected to a specific image from a client's gallery.

Client Galleries associates the image selected by the client with the product they purchase. The submitted order includes the selected image file name and thumbnail, making it easier to identify the correct photograph when fulfilling the order.

A product purchased directly from a Products Block on your website does not allow the customer to select an image from a Client Galleries event. If selecting a gallery image is part of the purchase, sell the product through Client Galleries.

What Client Sees Example: Custom Sports Banner

For a custom sports banner, a typical setup could look like this:

  • Product Name: Custom Sports Banner
  • Minimum Photos: 1
  • Maximum Photos: 1
  • Option: Banner Information
  • Sub-Option: Player Details
  • Label: Team Name
  • Description: Please enter your athlete's team name.

On the front end, Banner Information appears as the Option heading. Your client selects Player Details from the Sub-Option dropdown.

The Team Name Label appears above the text field, and the Description provides additional instructions about what to enter.

After your client completes the requested information and adds the product to their cart, they can select the image they want to use for the banner.

Because Minimum Photos is set to 1, the product will not show as completed until one image has been selected.

Once the image requirement is met, the client can continue shopping or view the cart and check out.

Collecting Multiple Pieces of Information

If you need several separate details from your client, the cleanest setup is to create a separate Option for each piece of information.

Each Option can contain one Sub-Option with its own text field. This keeps each answer separated when you review the submitted order.

For example, you could create:

  • Team Information to collect the team name
  • Player Information to collect the player name
  • Jersey Information to collect the jersey number
  • Graduation Information to collect the graduation year

You can request several details within a single text field, but combining multiple answers into one response can make the submitted order harder to read and fulfill.

This workflow can also be used for personalized products that require one selected Client Galleries image, including:

  • Player banners
  • Senior banners

  • Photo plaques
  • Team signs
  • Personalized prints

What the Submitted Order Looks Like

When a client purchases a custom sports banner through a Client Galleries event, you can review the submitted order in the ECommerce Dashboard.

The order includes an order summary followed by the individual item details.

For the custom sports banner, the item details show the file name and thumbnail for the image selected from the Client Galleries event. The order also displays the Product Option information and the custom text entered by the client, such as the athlete's team name.

If you use separate Options for information such as the team name, player name, jersey number, and graduation year, those answers remain separated in the submitted order. This makes the customization information easier to review when fulfilling the product.

Your client also receives an email receipt with a link that is valid for 7 days so they can save a copy for their records. You can resend the receipt from the ECommerce Dashboard at any time. The new receipt link is valid for another 7 days.

  • Minimum Photos and Maximum Photos apply specifically to products purchased through Client Galleries.
  • Setting both values to 1 requires exactly one gallery image to be associated with the product.
  • If the product has a Minimum Photos requirement, the client must meet that requirement before the product shows as completed.
  • Use clear Option, Sub-Option, Label, and Description text so clients understand what information they need to provide.
  • If you need multiple separate answers, create multiple Options with one Sub-Option and text field for each instead of collecting everything in one large text response.
  • Consider adding a product image that shows an example of the finished banner or personalized product.
  • Make sure the product is Active and included in the Client Galleries price list assigned to the event.
  • Review your product name, description, price, tax settings, shipping settings, image requirements, Product Options, and product images before making the product available to clients.
  • Consider testing the complete purchasing process with a test Client Galleries event and price list before adding the product to an active client event.
  • Saving your changes automatically applies your updates. There is no publish button.

Troubleshooting or FAQs

Why isn't an image attached to the submitted order?

If an image is not attached to the order, the product did not have an image requirement and the client did not select an image for it.

For a custom sports banner that requires one image, set both Minimum Photos and Maximum Photos to 1. This requires exactly one image to be selected for the product.

Can my client check out without selecting the required image?

No. If a product has a Minimum Photos requirement, the client must select at least that number of images before the product is complete.

For this custom sports banner setup, setting Minimum Photos to 1 means one image must be selected. The product will not show as completed until the image requirement is met.

How do I require exactly one image?

Set both Minimum Photos and Maximum Photos to 1.

The minimum requires at least one image, while the maximum prevents the client from selecting more than one image for the product.

Can I collect a team name, player name, or jersey number with the order?

Yes. Use a Product Option and Sub-Option with a text field to request personalized information from the client.

If you need several separate pieces of information, create multiple Options with one Sub-Option and text field for each. This keeps the client's answers separated in the submitted order.

Can I request several details in one text field?

Yes, but the information can become difficult to read when several answers are combined into a single response.

Can I use a Form to collect the image number and banner information instead?

A Form can collect information from your client, but it does not replace the Client Galleries purchasing workflow when you need a specific image connected to the product being purchased.

Client Galleries associates the client's selected image with the purchased product so the image information and customization details are available together in the submitted order.

What if I need the client to choose more than one image?

Adjust Minimum Photos and Maximum Photos to match the number of images required for the product.
