How to Set Time Off in Your PhotoBiz Scheduler

Overview

The PhotoBiz Scheduler lets you add Time Off when you need to temporarily prevent clients from booking appointments during specific dates or times. You can block an entire day, set a partial-day time range, or apply Time Off only to specific Scheduler services.

Time Off is useful for vacations, holidays, personal appointments, special events, mini-session dates, and other temporary changes to your normal availability. This guide walks you through adding Time Off and explains how to edit, delete, and manage Time Off around existing appointments.

If you are regularly unavailable on certain days or times each week, update your Hours of Operation instead of creating individual Time Off entries.

STEP ONE

Log in to your PhotoBiz account and click SCHEDULER in the left-side menu.

This opens your Scheduler, where you can manage your services, appointments, availability, and Time Off.

STEP TWO

Click TIME OFF at the top of your Scheduler.

This opens your Time Off list, where you can review existing entries, add new Time Off, edit an existing entry, or delete Time Off you no longer need.

STEP THREE

Click ADD to create a new Time Off entry.

A panel will open on the right side of your screen with the settings for your new Time Off entry.

FINAL STEP

Enter an OCCASION to identify the Time Off entry in your control panel.

Use ALL DAY to choose whether you want to block the entire day or only part of the day. Select Yes to block a full day, then choose the date or date range you want to make unavailable. Select No to block only part of a day, then set the Time Off Start and Time Off End for the period you want to make unavailable.

Under APPLY TO THE FOLLOWING SERVICES, choose whether the Time Off applies to All Services or Specific Services. If you choose Specific Services, select the Scheduler services you want the Time Off to affect. Services you do not select can remain available according to their normal scheduling settings.

When your settings are complete, click ADD TIME OFF.

Your new Time Off entry will appear in your Time Off list, and clients will no longer be able to book the affected services during the dates and times you blocked.

Additional Options and Helpful Notes

Using All-Day Time Off

Select Yes for ALL DAY when you want to make an entire date or continuous date range unavailable.

You will choose the beginning and ending dates for the Time Off. If you are blocking only one day, use that same date for the start and end of the range.

All Day Yes

If you choose All Day yes, you'll choose the date range for your time off.

Using Partial-Day Time Off

Select No for ALL DAY when you only need to block part of your available schedule.

For example, if you are unavailable from 1:00 PM to 4:00 PM, set the Time Off Start to 1:00 PM and the Time Off End to 4:00 PM. Eligible services can remain available outside the blocked period according to your normal Scheduler availability.

All Day No

If you select All Day no, you'll have the option to choose your Time off Start and Time Off End.

Blocking Time Around an Existing Appointment

You cannot add All Day Time Off to a date that already has an appointment booked.

If you need the entire day to become unavailable, you must first reschedule or cancel the existing appointment. After the appointment is moved or canceled, you can create an All Day Time Off entry for that date.

If you want to keep the existing appointment, use partial-day Time Off to block the remaining availability around it. Create one Time Off entry that ends when the appointment begins and, if needed, another Time Off entry that starts when the appointment ends and continues through the rest of the time you want unavailable.

For example, if you have an appointment from 2:00 PM to 3:00 PM, you can block the available time before 2:00 PM and create a second Time Off entry beginning at 3:00 PM.

Using Time Off for Specific Services

Time Off does not have to affect every service in your Scheduler.

Choose Specific Services when you want to make certain services unavailable while allowing clients to continue booking others. The selected services will be blocked during the Time Off period, while services you do not select can remain available according to their normal availability.

This is especially useful when you are offering a specific session on a particular date. For example, you can apply Time Off to your regular services while leaving a mini-session service available for booking.

All Day Time Off Yes - Specific Services

If you choose to apply to specific services, you'll be able to choose from a list of your available scheduler services you want to apply the time off to.

Scheduling Multiple Non-Consecutive Dates

If your unavailable dates are consecutive, you can include them in one Time Off date range.

If your unavailable dates are not consecutive, create a separate Time Off entry for each date or continuous date range. For example, if you are unavailable on Monday and Friday but available Tuesday through Thursday, create one entry for Monday and another for Friday.

Editing Existing Time Off

You can update an existing Time Off entry at any time.

Click TIME OFF at the top of your Scheduler, then click the existing Time Off entry you want to change. Update the available settings as needed and save your changes.

Deleting Existing Time Off

You can delete a Time Off entry whenever you need to reopen that availability.

Click TIME OFF at the top of your Scheduler, check the box next to the Time Off entry you want to remove, then click delete.

A confirmation panel will open on the right side of your screen. Click yes, delete it to permanently remove the Time Off entry.

Time Off vs. Hours of Operation

Use Time Off for temporary changes to your normal schedule, such as:

  • Vacations
  • Holidays
  • Personal appointments
  • Partial days away
  • Special events
  • Dates when only certain services should be available

Use Hours of Operation for your regular weekly availability, such as being closed every Sunday or only accepting appointments during certain business hours.

Troubleshooting and FAQs

Why can't I add All Day Time Off?

Check whether you already have an appointment booked for that date. PhotoBiz Scheduler will not allow you to create All Day Time Off while an appointment is already scheduled.

You can reschedule or cancel the appointment and then add All Day Time Off. If you want to keep the appointment, use partial-day Time Off to block the available hours before and after it.

Can I block only certain Scheduler services?

Yes. Choose Specific Services under APPLY TO THE FOLLOWING SERVICES, then select the services you want to make unavailable.

Services you do not include in the Time Off entry can remain available according to their normal scheduling settings.

Can I add several separate Time Off dates at once?

You can use one date range when your unavailable dates are consecutive. For non-consecutive dates, create separate Time Off entries.

Can I edit Time Off after I create it?

Yes. Click TIME OFF at the top of Scheduler, then click the existing Time Off entry you want to update.

Can I delete Time Off and reopen that availability?

Yes. From the TIME OFF section, check the box next to the entry, click delete, then click yes, delete it in the confirmation panel.

Should I use Time Off if I'm closed every weekend?

No. Use Hours of Operation for recurring weekly availability. Time Off is designed for temporary changes to your normal schedule.
