How to Sync Your PhotoBiz Scheduler with Apple Calendar

Overview

PhotoBiz Scheduler provides a Calendar Feed that lets you view your scheduled appointments in Apple Calendar.

This is a one-way connection. Appointments created or updated in PhotoBiz Scheduler can appear in Apple Calendar, but changes made in Apple Calendar do not update PhotoBiz Scheduler.

Apple Calendar events also do not control availability in PhotoBiz Scheduler. You should always manage appointment availability, cancellations, rescheduling, and other appointment changes from your PhotoBiz account.

This guide explains how to copy your PhotoBiz Scheduler Calendar Feed, subscribe to it using the Calendar app on your Mac, and manage common Apple Calendar settings.

Important Information About the Apple Calendar Feed

Before connecting your calendar, keep these details in mind:

  • The Calendar Feed is a one-way connection from PhotoBiz Scheduler to Apple Calendar.
  • Events you create directly in Apple Calendar do not update or block availability in PhotoBiz Scheduler.
  • Always cancel, reschedule, or edit Scheduler appointments from your PhotoBiz account.
  • Your Calendar Feed includes Scheduler appointments up to one year in the future.
  • Apple Calendar refreshes subscribed calendars periodically, so new appointments or recent changes may not appear immediately.
  • This guide covers subscribing to your Calendar Feed through the Calendar app on a Mac.
  • If you save the subscription to iCloud, the subscribed calendar can be available on compatible Apple devices signed in to the same Apple Account.

STEP ONE

Log in to your PhotoBiz account and click SCHEDULER in the left-side menu.

This opens the Scheduler Dashboard, where you can manage your appointments, availability, services, and calendar settings.

STEP TWO

At the top of the Scheduler Dashboard, click CALENDAR FEED.

Your Scheduler calendar feed link will appear on the screen. Highlight the complete calendar feed link and copy it.

You will paste this link into Apple Calendar in the next step.

STEP THREE

Open the Calendar app on your Mac.

In the menu at the top of your screen, click File, then click New Calendar Subscription.

Apple Calendar will open a window where you can enter the URL for the calendar you want to subscribe to.

STEP FOUR

Paste the calendar feed link you copied from your PhotoBiz Scheduler into the Calendar URL field.

Click Subscribe.

Apple Calendar will connect to your PhotoBiz Scheduler calendar feed and display additional settings for the subscription.

FINAL STEP

Configure your Apple Calendar subscription settings.

Enter a recognizable name for the calendar, such as PhotoBiz Scheduler, and choose the color you want Apple Calendar to use for these appointments.

Use Location to choose where the subscription is stored. Choose iCloud if you want the subscribed calendar available on compatible Apple devices signed in to the same Apple Account. Choosing On My Mac keeps the subscription on that Mac.

Use Auto-refresh to choose how often Apple Calendar checks the PhotoBiz Calendar Feed for new appointments and changes.

When your settings are complete, click OK.

Your PhotoBiz Scheduler calendar should now appear in Apple Calendar. Scheduler appointments will appear as Apple Calendar refreshes the subscribed Calendar Feed.

Managing Your Appointments

Continue managing all Scheduler appointments from your PhotoBiz account after connecting the Calendar Feed.

If you need to cancel, reschedule, or edit an appointment, make the change in PhotoBiz Scheduler. The updated appointment information can then appear in Apple Calendar when the subscribed calendar refreshes.

Changes made directly to an appointment in Apple Calendar do not update the appointment in PhotoBiz Scheduler.

Apple Calendar Does Not Control Scheduler Availability

Connecting your PhotoBiz Scheduler to Apple Calendar does not create a two-way availability connection.

Events you add directly to Apple Calendar do not tell PhotoBiz Scheduler that you are unavailable.

If you need to prevent clients from booking certain dates or times, manage your availability directly through PhotoBiz Scheduler.

Helpful Notes

  • Calendar Updates: Apple Calendar checks your subscribed calendar based on its Auto-refresh setting. New appointments and recent changes may not appear immediately.
  • Appointment Times: If appointments appear at an unexpected time, confirm that the time zone configured for your PhotoBiz account is correct.
  • Apple Devices: Choosing iCloud as the Location allows the subscribed calendar to be available on compatible Apple devices signed in to the same Apple Account.
  • On My Mac: Choosing On My Mac keeps the subscribed calendar on that Mac instead of making it available through iCloud.
  • One-Year Feed: Your PhotoBiz Calendar Feed includes Scheduler appointments up to one year in the future.

Troubleshooting & FAQs

Why Isn't a New Appointment Showing in Apple Calendar?

First, confirm that the appointment appears correctly in your PhotoBiz Scheduler.

Then open the Calendar app on your Mac and click View, then Refresh Calendars.

If the appointment still does not appear, allow additional time for Apple Calendar to refresh the subscribed calendar.

My Calendar Is Not Updating Automatically. What Should I Check?

In Apple Calendar, Control-click your PhotoBiz Scheduler calendar and click Get Info.

Review the Auto-refresh setting and choose how often you want Apple Calendar to check the Calendar Feed for updates.

Can I Reschedule or Cancel a PhotoBiz Appointment from Apple Calendar?

No.

The Calendar Feed is a one-way connection from PhotoBiz Scheduler to Apple Calendar. Changes made directly in Apple Calendar do not update the appointment in PhotoBiz.

Always reschedule, cancel, or edit appointments from your PhotoBiz Scheduler.

Will Events in Apple Calendar Prevent Clients from Booking Those Times?

No.

Events added directly to Apple Calendar do not block availability in PhotoBiz Scheduler.

Manage your available hours, time off, and other scheduling restrictions directly through PhotoBiz Scheduler.

Why Is an Appointment Showing at the Wrong Time?

Check the time zone configured for your PhotoBiz account.

If the time zone is incorrect, appointment times may appear differently when viewed in your connected calendar.

My PhotoBiz Calendar Is No Longer Listed in Apple Calendar. What Should I Do?

Return to your PhotoBiz Scheduler and copy the CALENDAR FEED URL again.

Then repeat the subscription steps in this guide to add the calendar back to Apple Calendar.

Remove Your PhotoBiz Calendar from Apple Calendar

If you no longer want your PhotoBiz Scheduler appointments to appear in Apple Calendar, you can remove the subscription.

In Apple Calendar, Control-click the subscribed PhotoBiz Scheduler calendar, then click Unsubscribe.

Removing the subscription from Apple Calendar does not cancel, delete, or change any appointments in your PhotoBiz Scheduler.
