How to Resolve a Pending PayPal Order in PhotoBiz

Overview

When a customer submits an order using PayPal, the order may occasionally display a Pending payment status in PhotoBiz. This means PhotoBiz received the order but did not receive confirmation that PayPal processed the payment.

A Pending status does not necessarily mean the payment failed. It commonly occurs when the customer completes payment but closes the PayPal window before being redirected to the PhotoBiz order confirmation page.

This guide explains how PayPal payment confirmation works, why an order may remain Pending, and how to verify the payment before manually updating the order to Paid.

Prerequisites

Before reviewing a Pending order, make sure you have:

  • Access to the PayPal account connected to PhotoBiz
  • The customer’s order information

How PayPal Checkout Works

When a customer submits an order and selects PayPal, they are redirected from your PhotoBiz website to PayPal to complete the payment. Depending on the options available through PayPal, the customer may log into a PayPal account or use guest checkout with a credit or debit card.

After PayPal processes the payment, the customer is redirected back to the PhotoBiz order confirmation page. This redirect confirms to PhotoBiz that the payment was processed.

When the customer completes the payment and returns to the PhotoBiz order confirmation page, the order status automatically updates to Paid.

If the customer closes the PayPal window or browser tab before being redirected back to PhotoBiz, PhotoBiz does not receive the payment confirmation. The order will remain Pending, even if PayPal successfully processed the payment.

Below is what the PayPal checkout and confirmation process looks like for your customer:

What Pending Means in PhotoBiz

A Pending payment status means:

  • The order was submitted successfully
  • PhotoBiz did not receive confirmation from PayPal that the payment was processed
  • The payment must be verified directly through your PayPal account

PhotoBiz does not have access to your PayPal account and cannot independently confirm whether you received the payment.

A Pending order does not automatically mean the customer did not pay. It means PhotoBiz cannot confirm the outcome of the PayPal transaction.

Why Digital Items Are Not Released While an Order Is Pending

The Pending status helps protect digital products and downloadable files from being delivered before payment has been confirmed.

When an order containing digital items remains Pending, PhotoBiz does not send the customer a valid download link. This prevents digital products from being delivered when PhotoBiz cannot verify that payment was received.

Always confirm the transaction in PayPal before manually changing the order status to Paid.

STEP ONE

Log into the PayPal account connected to your PhotoBiz account.

Locate the transaction associated with the Pending order. Use the customer’s name, email address, payment amount, or transaction date to help identify the correct payment.

STEP TWO

Confirm that PayPal shows the payment as successfully completed.

Do not update the order to Paid if the transaction does not appear in PayPal or if PayPal indicates that additional action is required before the payment is complete.

Changing the payment status in PhotoBiz does not charge the customer, process a payment, or transfer funds. It only updates the order record in your PhotoBiz account.

STEP THREE

Log into your PhotoBiz account and click ECOMMERCE in the left-side menu.

This opens the ECommerce Dashboard, where you can review orders and payment statuses.

STEP FOUR 

Click the Pending bar in the Payment Status section of the ECommerce Dashboard.

This displays the orders that currently have a Pending payment status.

STEP FIVE

Click the ORDER NUMBER for the order you verified in PayPal.

Review the customer information, order total, and order details to confirm that you are updating the correct order.

STEP SIX

Click STATUS in the upper-right corner of the order page.

A menu will open on the right side of the screen.

STEP SEVEN

Click CHANGE STATUS.

Under Select Payment Status, choose Paid.

Only select Paid after confirming that PayPal successfully processed the payment.

FINAL STEP

Choose whether you want to send the customer an email notification with their receipt and payment confirmation. Then click Save Changes.

The order will now display a Paid payment status in PhotoBiz. If the order includes digital products, the customer can receive access based on your delivery settings.

What to Do If No Payment Appears in PayPal

If you cannot locate the transaction in PayPal, do not change the order status to Paid.

The customer may have submitted the order in PhotoBiz but left PayPal before completing the payment. Ask the customer to submit the order again and complete the full PayPal checkout process.

The customer should remain on the PayPal screen until the payment is complete and PayPal redirects them back to the PhotoBiz order confirmation page.

Helpful Notes

  • Orders that complete the PayPal redirect automatically update to Paid in PhotoBiz.
  • A Pending order does not always mean the payment failed.
  • PhotoBiz cannot view or verify transactions inside your PayPal account.
  • Updating an order to Paid in PhotoBiz does not collect payment from the customer.
  • Customers should remain in PayPal until they are redirected back to PhotoBiz.
  • Pending payment protection prevents digital products from being delivered before payment is confirmed.
  • Always verify the transaction in PayPal before manually changing an order status.

Using Stripe or Square for On-Site Checkout

PayPal sends customers to a separate PayPal checkout screen to complete their payment. After PayPal processes the payment, the customer must be redirected back to the PhotoBiz order confirmation page so PhotoBiz can automatically update the order status to Paid.

Stripe and Square use a different checkout process. When you connect either credit card merchant to PhotoBiz, customers enter their credit or debit card information directly on your PhotoBiz website. They do not leave your website or need to return from a separate payment screen.

Using Stripe or Square removes the PayPal redirect step that can cause an order to remain Pending when PhotoBiz does not receive payment confirmation. However, this does not guarantee that every payment will be successful, and you should still review any order that displays an unexpected payment status.

Troubleshooting

The customer says they paid, but the order is Pending

Log into PayPal and search for the transaction. If PayPal confirms that the payment was successfully completed, manually update the order to Paid in PhotoBiz.

The payment appears in PayPal, but the PhotoBiz order is still Pending

The customer may have closed the PayPal window before being redirected to the PhotoBiz order confirmation page. Confirm that the payment was completed in PayPal, and then use the steps in this guide to update the order.

No payment appears in PayPal

The customer likely submitted the order but did not complete the PayPal checkout process. Do not update the order to Paid. Ask the customer to place the order again and remain in PayPal until they are redirected back to PhotoBiz.

PayPal says the payment requires additional action

Complete any required steps in PayPal before updating the order in PhotoBiz. Only mark the order as Paid after PayPal confirms that the payment was successfully processed.

The order includes digital files

Do not manually send files or provide download access until you confirm the payment in PayPal. The Pending status is designed to prevent digital items from being released before payment is verified.
