How to Manage Filters in Your PhotoBiz Mailbox

Overview

Filters help you automatically organize incoming messages in your PhotoBiz Mailbox. You can create rules that identify messages by the sender, recipient, subject, message body, or other criteria.

After a message matches your selected criteria, the filter can move it to a folder, forward it to another email address, or delete it. This guide explains how to create, edit, and remove mailbox filters.

When to Use Filters

You can use filters to:

  • Move messages from specific senders into designated folders
  • Organize messages based on words in the subject or message body
  • Forward matching messages to another email address
  • Send selected messages to the Spam folder
  • Delete unwanted messages automatically
  • Keep your inbox organized without manually moving each message

STEP ONE

Log in to your PhotoBiz Mailbox at https://mailbox.photobiz.com

STEP TWO

Click the menu icon in the top-right corner of the mailbox, then click Settings.

STEP THREE

Click INCOMING EMAIL to open the incoming email controls for your mailbox.

STEP FOUR

Click the FILTERING tab.

This section displays your existing filters and provides options for creating, editing, or deleting filters.

STEP FIVE

Click ADD NEW FILTER to create a filter.

To change an existing filter, click its name, then click EDIT. To remove an existing filter, click its name, then click DELETE.

FINAL STEP

Enter a name for the filter, then choose the criteria that incoming messages must match.

Available criteria include:

  • From
  • To/CC
  • Subject
  • Body
  • Custom

Next, choose what the mailbox should do when a message matches the filter. Available actions include:

  • Move to folder
  • Forward to another email address
  • Delete Immediately

When you select Move to folder, choose an existing folder, such as Inbox or Spam, or create a new folder.

Click SAVE to add the filter to your mailbox. The filter will appear on the FILTERING tab with your other existing filters.

How to Edit an Existing Filter

STEP ONE

Log in to your PhotoBiz Mailbox, click the menu icon in the top-right corner, then click Settings.

STEP TWO

Click INCOMING EMAIL, then click the FILTERING tab.

STEP THREE

Click the name of the filter you want to change, then click EDIT.

FINAL STEP

Update the filter name, criteria, or action as needed. Click SAVE to apply your changes.

How to Remove a Filter from Your Mailbox

Removing a filter stops the mailbox from applying that rule to future incoming messages.

STEP ONE

Log in to your PhotoBiz Mailbox, click the menu icon in the top-right corner, then click Settings.

STEP TWO

Click INCOMING EMAIL, then click the FILTERING tab to view your existing filters.

STEP THREE

Click the name of the filter you want to remove.

FINAL STEP

Click DELETE to remove the filter.

The filter will no longer appear on the FILTERING tab. Future incoming messages will no longer be organized, forwarded, or deleted according to that rule.

Helpful Notes

  • Give each filter a clear name that describes what it does.
  • Review your criteria carefully to make sure the filter does not affect messages you want to keep.
  • Use the Delete Immediately action carefully because matching messages will not be delivered to your inbox.
  • You can create a new mailbox folder while setting up a Move to folder action.
  • Removing a filter does not restore messages that were previously moved, forwarded, or deleted.
  • Filters are different from the Block List. Filters organize or process messages based on selected criteria, while the Block List prevents matching messages from being delivered to your mailbox.
