How to Attach a File to an Invoice

Sometimes you may need to include a downloadable file with your invoice—like a contract, instructions, or other important documents. With PhotoBiz, it's easy to upload and link a file directly inside your invoice!

Here’s how to do it:

STEP ONE

GO TO YOUR FILES

Log into your PhotoBiz account.
Click on Files from the left-hand menu.

STEP TWO

OPEN DOCUMENTS

At the top of the Files panel, click on Documents to access your document uploads.

STEP THREE

UPLOAD YOUR FILE

Click the Upload button and choose your file.
Supported file types include: JPG, JPEG, PNG, GIF, TTF, OTF, WOFF2, PDF, PSD, DOC, DOCX, XLS, XLSX, ZIP, ICO, MP3, JS, CSS, SVG.

💡 Pro Tip

If you’re working with an unsupported file type, just zip it and upload the .ZIP file instead.

STEP FOUR

COPY THE FILE LINK

Once uploaded, your file appears in your File Library.
Use Sort By > Date to bring the newest file to the top.
Click to highlight and copy the link for the file you want to attach.

STEP FIVE

Click on QUOTES & INVOICES in the left-side menu inside your PhotoBiz account.

STEP SIX

OPEN YOUR INVOICE

Click on Invoices at the top.
Select the Invoice Number you want to add the file to.

STEP SEVEN

EDIT THE INVOICE

Click the Edit button in the top-right corner of the invoice.

STEP EIGHT

ADD THE FILE LINK

In the right-hand side menu, click Other Details.
This is where you can add a message and insert your file link.

STEP NINE

LINK YOUR FILE

Highlight the text you want to use as your download link (like "Click here to download your file").
Click the Insert Link button (🔗 icon).
Paste your copied file URL into the popup window.
Click OK, then Save Changes at the bottom.

🎉 That’s it! When you send your invoice, your client will see a link they can click to download the file before making their payment.
