How to Add Stock to a Product in PhotoBiz ECommerce

Overview

PhotoBiz ECommerce allows you to update stock quantities directly from the product settings. This is helpful when you restock an item, receive more inventory, or need to make a sold-out product available for purchase again.

Stock is managed at the product level. If your product uses limited-quantity options, such as sizes, colors, finishes, or materials, you can update the stock for each individual option from the product’s Stock tab.

This guide walks you through how to add stock to an existing product in your PhotoBiz ECommerce dashboard.

Prerequisites

Before you begin, make sure you have:

  • An active PhotoBiz account
  • ECommerce enabled on your account
  • A product already created in your ECommerce dashboard
  • Stock tracking already set up for the product

If stock tracking has not been turned on for the product yet, set up inventory tracking first before adding additional stock.

STEP ONE

Log into your PhotoBiz account and click ECOMMERCE in the left-side menu.

This opens your ECommerce dashboard, where you can manage products, orders, payments, shipping, taxes, and inventory.

STEP TWO

At the top of your ECommerce dashboard, hover over SELL ONLINE.

In the dropdown menu, click PRODUCTS.

This opens your product list, where you can view and manage the products available in your online store.

STEP THREE

Click the name of the product you want to add stock to.

This opens the product settings. Stock changes are made inside each individual product, so you will need to open the specific product you want to update.

STEP FOUR

Click the STOCK tab in the product settings.

This section shows the current inventory tracking details for the product. Depending on how the product is set up, you may see one overall stock quantity or separate quantities for individual product options.

STEP FIVE

Click the + symbol for the stock item you want to update.

A pop-up window will open where you can add the additional stock amount. You can also enter a date and a reference note for your records.

For example, you may use the reference field to note that the added stock came from a new shipment, an in-studio restock, or an inventory correction.

FINAL STEP

Click Save in the pop-up window.

Your updated stock quantity is now active on your website. If the product was previously sold out, adding stock makes it available for customers to purchase again.

Adding Stock to Product Options

Some products use option-level stock tracking. This means each option has its own available quantity.

For example, you may sell a framed print with different frame colors, or an album with different cover materials. Each option can have its own SKU and stock quantity.

When updating stock for product options, make sure you are adding inventory to the correct option. This helps prevent customers from purchasing a variation that is not actually available.

WHAT CUSTOMERS SEE

After you add stock, your website automatically updates the product availability based on the new quantity.

Customers may see:

  • The product become available for purchase again
  • An updated quantity dropdown
  • Specific options become available again
  • The Out of Stock message disappear once inventory is added

If only some product options are restocked, only those options will become available.

Additional Options and Helpful Notes

You can add stock whenever your inventory changes. This is useful after:

  • Receiving new products or supplies
  • Restocking fine art prints
  • Adding more albums, frames, or gift items
  • Making more limited-edition products available
  • Selling items outside your website and needing to correct inventory
  • Reopening a product that was previously sold out

If you sell products both online and in person, update your PhotoBiz stock quantities regularly so your website reflects your current inventory.

Troubleshooting and FAQs

Why is my product still showing as Out of Stock?

Check the product’s Stock tab to make sure the available quantity is greater than zero. If the product uses option-level stock tracking, confirm that the specific option customers are selecting has stock available. You'll also want to reload the page that has the product on it if you're previewing it.

Can I add stock to only one product option?

Yes. If your product has multiple limited-quantity options, you can update the stock for a specific option without changing the others.

Where do I update stock quantities?

Stock quantities are updated at the product level. Go to ECommerce, open SELL ONLINE, click PRODUCTS, select the product, and open the STOCK tab.

Do I need to create a new product when I restock an item?

No. If the product already exists, you can add stock to the existing product from the Stock tab. You do not need to create a new product unless you are selling a different item.

Does adding stock automatically update my website?

Yes. After you save your stock changes, the updated inventory is reflected on your website.
