How to View and Track Invoices in PhotoBiz

Overview

The Invoice Tracking feature in PhotoBiz allows you to view, filter, and manage all of your invoices in one place. You can quickly sort invoices by status or date, review client details, and export your data for reporting or record keeping.

In this guide, you will learn how to access the Invoice Tracking report, apply filters, and understand the information displayed. By the end, you will be able to efficiently monitor your invoice activity and take action when needed.

STEP ONE

Log into your PhotoBiz account and click QUOTES & INVOICES in the left-side menu. This will open your Quotes & Invoices dashboard.

STEP TWO

At the top of the Quotes & Invoices dashboard, click the TRACKING tab.

STEP THREE

By default, the tracking view will show Quotes. Click the TYPE dropdown menu and select Invoices to switch to invoice tracking.

STEP FOUR

Use the STATUS and DATE OPTIONS dropdown menus to filter your invoices.

The Status filter allows you to choose:

  • All
  • Pending
  • Paid
  • Overdue

The Date Options filter allows you to choose:

  • This Month
  • Last Month
  • 6 Months
  • This Year
  • Last Year
  • Custom Date

After selecting your filters, click the SEARCH button to generate your invoice tracking report.

FINAL STEP

Your invoice tracking report will display in descending order based on invoice number.

You will see the following details for each invoice:

  • Date
  • Client Name
  • Status
  • Subtotal
  • Shipping
  • Taxes
  • Total

From this screen, you can:

  • Click the invoice number to view full invoice details
  • Export your report as a CSV file
  • Print a hard copy for your records

Once loaded, your report gives you a complete view of your invoice activity and allows you to take action on any outstanding or paid invoices.

Additional Options or Helpful Notes

  • The Custom Date option is helpful for running reports for specific timeframes, such as tax reporting or monthly reconciliation.
  • Exporting a CSV file allows you to open and organize your invoice data in spreadsheet software like Excel or Google Sheets.
  • Invoice statuses update automatically based on client payments, helping you quickly identify outstanding balances.
