How To Export Client Galleries Favorites to Adobe Lightroom

How to Export Client Favorites from PhotoBiz to Adobe Lightroom Classic

Overview

PhotoBiz Client Galleries allows your clients to mark images as Favorites while reviewing their gallery. You can copy or download the filenames for those selected images and use the list to quickly locate the corresponding files in Adobe Lightroom Classic.

This guide explains how to find a specific contact’s Favorites, copy or export the filename list, understand how PhotoBiz sorts Favorites by filename, and use the list in Lightroom Classic.

Prerequisites

Your client must have marked at least one image as a Favorite in their Client Galleries event.

The corresponding images must also be available in your Adobe Lightroom Classic catalog if you want to locate them using the exported filename list.

STEP ONE

Log into your PhotoBiz account and click CLIENT GALLERIES in the left-side menu.

This opens the Client Galleries Dashboard, where you can manage your events and review client activity.

STEP TWO

Click ACTIVITY at the top of the Client Galleries Dashboard.

STEP THREE

Locate the contact whose Favorites you want to view. You can use the search field to search by client name, email address, or event name. You can sort activity by Last Saved, Date Created, or Event.

In the FAVORITES column, click the number for that contact to view the images they selected as Favorites.

If the number is 0, that contact has not selected any Favorites to export.

If you need additional help reviewing a client’s selections, see How Can I View a Customer Favorites?

STEP FOUR

From the client’s Favorites, click EXPORT.

This opens the FAVORITES FILES LIST, where you can copy or download the filenames for the images your client selected.

STEP FIVE

PhotoBiz displays the selected filenames in a comma-separated list.

Select the INCLUDE FILE EXTENSION checkbox if you want the filenames to include their .JPG or .PNG extensions.

Click COPY FILES LIST to copy the comma-separated filenames for immediate use in Lightroom Classic. You can also click DOWNLOAD CSV FILE to save the Favorites list as a CSV file for later reference.

FINAL STEP

Open Adobe Lightroom Classic and select the folder or collection containing the images from the client’s session.

In the LIBRARY module, use the Library Filter to search by FILENAME and set the filter to CONTAINS. Paste the filename list you copied from PhotoBiz into the search field.

Lightroom Classic will display the images that match the filenames in your client’s Favorites list. Selecting the correct folder or collection before searching can help prevent images with the same filename from another session from appearing in your results.

How PhotoBiz Sorts Favorite Filenames

When you view or export a client’s Favorites, PhotoBiz sorts the filenames alphabetically. Filenames are treated as text, so numbers within the filename are not sorted according to their numerical value.

For example, filenames may appear in this order:

  • Image-1.JPG
  • Image-10.JPG
  • Image-100.JPG
  • Image-101.JPG
  • Image-11.JPG
  • Image-2.JPG
  • Image-20.JPG

This is expected behavior.

The Favorites list is not sequenced by the numerical value at the end of the filename or by the order in which your client selected the images.

Using Leading Zeros for Numerical Sorting

If you want alphabetical filename sorting to also follow numerical order, use the same number of digits throughout your filename sequence.

For example:

  • Image-001.JPG
  • Image-002.JPG
  • Image-003.JPG
  • Image-010.JPG
  • Image-011.JPG
  • Image-100.JPG

Using leading zeros allows alphabetical sorting to follow the expected numerical sequence.

Additional Options and Helpful Notes

Export With or Without File Extensions

PhotoBiz Client Galleries supports JPG and PNG image files.

Selecting INCLUDE FILE EXTENSION adds the file extension to each filename, such as:

  • Image-001.JPG

  • Image-001.PNG

Leaving the checkbox unselected displays only the base filename, such as Image-001.

Choose the option that makes it easiest to match the Favorites list with the filenames in your Lightroom Classic catalog.

Copy Filenames Instead of Downloading a CSV

You do not have to download a CSV file if you only need the filenames.

Click COPY FILES LIST to copy the comma-separated filename list directly from PhotoBiz and paste it into Lightroom Classic.

Use DOWNLOAD CSV FILE when you want to save a copy of the client’s Favorites filename list for later reference.

Keep Filenames Consistent

The Favorites list reflects the filenames associated with the images in Client Galleries.

If you rename your local files after uploading the images to PhotoBiz, the filenames in the Favorites list may no longer match the files in Lightroom Classic.

Keeping filenames consistent throughout your workflow makes it easier to locate your client’s selections.

Duplicate Filenames

If the same filename exists in multiple sessions or folders in Lightroom Classic, a filename search may return more than one matching image.

Select the folder or collection for the correct session before searching to narrow your results.

Troubleshooting & FAQS

Why are the filenames not in numerical order?

PhotoBiz sorts Favorites alphabetically by filename.

For example, Image-10.JPG appears before Image-2.JPG because the filename is being sorted as text rather than by the numerical value at the end.

Using leading zeros, such as Image-001.JPG, Image-002.JPG, and Image-010.JPG, allows alphabetical sorting to follow numerical order.

Why don’t I have any Favorites to export?

Check the FAVORITES column in ACTIVITY. If the contact has a 0, they have not selected any images as Favorites.

Once a client selects at least one Favorite, the number in the FAVORITES column will reflect their selections.

Why can’t I find one of the Favorites in Lightroom Classic?

Confirm that the image is available in the Lightroom Classic folder or collection you are searching and that its filename matches the filename shown in PhotoBiz.

If you renamed the local image after uploading it to Client Galleries, the filenames may no longer match.

Should I copy the filenames or download the CSV file?

Use COPY FILES LIST when you want to paste the filenames directly into Lightroom Classic.

Use DOWNLOAD CSV FILE when you want to save the filename list for later reference.
